How does Newsletter work?

Create Different Newsletter Categories

Different Newsletter categories can be created, in advance, allowing Website visitors to be specific about the type of information they want sent. New categories can be created in a matter of minutes and made immediately available to website Visitors.

Automatic Registration and De-registration

To register for Newsletters, a visitor needs to complete a simple form on the Website. An automatic Email is then sent to them for confirmation. To activate their account, they reply to the Email by clicking a special activation link.

They can also un register at any time, by clicking another special link, included on all Newsletters sent out. This saves having to send out large numbers of Emails to people, who have since changed their minds. When registering for the first time, visitors also have the option of reading archived Newsletters.

HTML And Text Based Newsletters

To generate Newsletters, the Author logs on to their Website via secure login. They are presented with a Control Panel showing a list of existing Newsletters. To create a new Newsletter, the Author states which Newsletter category it belongs to, publish date, brief subject line, if it is HTML or Text and if it is to be included on the Website under Archived Newsletters.

The majority of the page, is dedicated to writing the actual Newsletter. Newsletter layouts can be as simple or sophisticated as you wish and really depends on your own tastes. If written content has already been prepared using a Word Processor, for example, then it can be pasted directly on to the page. In which case, a Newsletter can take only seconds to prepare.

Schedule Automatic Newsletters

Once the Newsletter is created, it can be scheduled to run on a specific date or run immediately. When sending a Newsletter, the system lists all Email addresses that have subscribed to this particular category. At which time, the option is available to deselect individual Email addresses. Once the list is complete, a button is clicked and all Newsletters are sent out automatically using our own servers.

Newsletter List

First page displayed when entering system. This page shows a list of current Newsletters and offers the option to search by Newsletter Group. Newsletters can be also be edited or deleted with a single click. Navigation Bar at available at top of page for quick access to other parts of the system.

Edit/Add Newsletter

There are five fields that need to be completed before drafting Newsletters. These tell the system what group the Newsletter belongs to, publish date, subject line, if it is HTML or text based and if it is to be shown in archived Newsletters. The body of the Newsletter can then be completed and a test email delivered to confirm how it will look to subscribers.

Create/Edit Group

Allows new Newsletter Groups to be created, edited or deleted. Gives a snapshot of how many subscribers have registered for each group. The facility is also available to flag the Group for private or public display. Encourages visitors to register.

Subscribe Email Newsletters List

Displays all subscriptions with ability to search by Newsletter Group or Email address. Facility also available for importing existing subscription lists via CSV import. Administrators can flag a record as Active, to be Verified or Suspended. Records can be edited or deleted with a single click.

Delivering Newsletters

Delivering Newsletters cannot be simpler. Choose one of the Newsletters already created, and decide on a date for it to be delivered. The system will then automatically Email the Newsletter on the given date. The ability to test Email addresses by "bouncing" them is also available. This notifies the administrator of bad addresses and, therefore, can be removed to speed up delivery processes.

System Preferences

Allows the administrator to define, amongst other things, how many Newsletters appear on any one page in the visitor front-end. Default Emails can also be edited to include your own text when confirming subscriptions and sending out Newsletters.
